Dymo Labels, 4 x 6 Shipping Labels, and How to Print From Word Without the Drama

If you ship anything more than once a week, buy a thermal label printer and use Dymo 4 x 6 shipping labels for parcels. Then use smaller Dymo labels for the bins, cables, and shelves around your office. And yes, you can print Dymo labels from Word without importing your address list into a separate label program. The only tool you should not be reaching for is a highlighter. When people ask me where to apply highlighter to a spec or packing list, my answer is: only on the exceptions. The rest should be readable as-is.

I’m the person who reviews labels before they reach the end of the supply chain. At least a few times a quarter, I audit 200+ unique label orders—shipping labels, asset tags, heat-shrink cable labels, permanent adhesive labels, the kind that get slapped onto metal racks and cardboard boxes. The 4 x 6 Shipping Label Is the Workhorse

A 4 x 6 label has enough room for a return address, a delivery address, a tracking barcode, and a few extra markings. Here’s something vendors won’t tell you: “standard turnaround” and “standard label” are not precise terms. The Dymo printer shows up as a printer option. Type or mail merge your addresses, choose the label definition, and let Word handle the rest. This has been true for years, but I still meet people who export addresses to a CSV, open another program, and spend an hour reformatting.

Let me rephrase that: the export is not the problem. The problem is treating a 4 x 6 shipping label like it’s a custom art project. For 95% of business shipping, the add-in route is faster. The most unexpectedly useful application was my kid’s Pokemon binder. I wanted to categorize cards by type so they would stop dumping the whole binder on the floor. But if you spend hours at a station, posture is part of the process. Better to remove physical friction too.

And about that highlighter: there is a right place for it. In a procedure document, highlight the exception, the “if this happens” step, or the date that changed. Don’t highlight the normal steps. When someone asks me where to apply highlighter in a document, I say: only where the usual flow stops. If you feel the need to highlight everything, you need better structure, not more color.

Boundaries: What Dymo Labels Are Not

Let me be honest about the limits, because I have seen people oversimplify this.

Dymo printers are designed for Dymo labels. I don’t recommend buying labels based only on size. Will Dymo labels work in a Brother or Zebra printer? Usually not, and even if the physical size fits, the thermal coating and registration can be off. Buy the labeled product that matches your printer. The “universal” label roll is often a compromise that saves a few cents per label and costs you a box of unreadable barcodes.

Dymo labels are also not the cheapest option. From our invoices, the price per roll is higher than generic rolls, and I won’t tell you otherwise. What I can say from audits: the total cost of a failed label is much higher than the difference. A lost package, a customer reorder, a delivery driver who can’t scan the barcode—all of that shows up in numbers we can measure.

Finally, thermal labels are not the right tool if you need Pantone-matched branding on the label itself. A Dymo printer gives clean text and barcodes at 300 dpi, but it’s not a commercial printing press. If color accuracy is the deliverable, send that job to a printer who can talk about Delta E and substrate color. For shipping and internal organization, a crisp thermal label is enough.

One more edge case: don’t label things just because you have a label maker. The point is to make the next person’s decision faster. If a shelf label says “MISC” and the shelf contains three different types of inventory, the label isn’t working. The goal is fewer labels, applied better.
